Where things stand
Every maintenance request Residents Living receives is handled twice: once by the coordinator who watches Rent Manager and ManageGo and assigns every ticket by hand — up to 30–40 a day — and once more in Service Fusion — a separate subscription that doesn't talk to either system. The dispatch tool sees none of the intake; the intake systems see none of the dispatch. One owned dispatch system, fed automatically, ends the double-handling — and retires the Service Fusion bill with it.

Each build in this proposal is self-contained — start with one, add others later, or take the set. Every price is fixed; overruns are on the vendor.

What's breaking today

The daily grind, named.

A coordinator watches Rent Manager and ManageGo side by side and assigns every ticket by hand — as many as 30–40 on the busiest days.

Service Fusion runs dispatch well but doesn't integrate with anything else — intake and dispatch never meet.

On an emergency, finding the nearest tech means opening Service Fusion and calling them — a manual step that lives outside every other system.

The before-and-after emails and texts tenants rely on exist only inside Service Fusion, cut off from the rest of the operation.

Maintenance Dispatch Platform

The office schedules every job on a per-tech calendar — drag to assign or reschedule, with conflicts visible before they happen — while techs run their day from their phones: today's route in order, one-tap status advance, photos and notes on every job. Tenants get branded notices automatically at each step — scheduled with a time window, on the way, completed — with text messaging live once carrier registration completes (filed at kickoff, typically 1–2 weeks). The Service Fusion customer list and job history come along via its standard report exports, which work on every Service Fusion tier, followed by a one-week parallel run before Service Fusion is turned off. Live GPS mapping is deliberately not included — dispatch is status-driven; a live map can be scoped later on a vehicle-GPS feed.

One-Queue Intake Feed (Rent Manager + ManageGo)

Every maintenance request lands in one queue, already sorted by priority — Rent Manager and ManageGo requests flow in automatically, since ManageGo already syncs its tickets into Rent Manager, and nothing changes about how tenants submit. Job status writes back to Rent Manager, so it remains the system of record. This feed depends on Rent Manager API access being enabled on the plan; until it is confirmed, the office creates and dispatches jobs directly and the automatic feed switches on the moment access lands.

Every price below is fixed — if a build runs over its estimate, the overage is on the vendor. Payment is owed only against accepted checkpoints; work that does not do what this document says it does is corrected at no charge before its invoice is issued.

Subscription: the build price carries a 30% service charge covering hosting, monitoring, and support — billed as 25% setup on signing plus a flat ongoing monthly. Bug fixes, troubleshooting, and a small monthly allowance of tweaks are always included. No fixed term; cancel anytime.

Terms

Simple terms, on paper.

  • 100% satisfaction guarantee. Each build is a fixed price. If the work goes over the estimate, that is on the vendor — payment is due only on satisfaction with the delivered product.
  • Timely input. Builds run at AI-assisted speed once requirements are signed off. Delivery dates assume timely access and answers; gaps in access pause the clock on the affected build only.
  • Re-engagement. A build paused on the client side and later resumed picks back up at the same rate — no penalty, simply re-slotted into the schedule.
